Terms of Service
Version 2026-09-03 Β· Effective 3 September 2026
1. Acceptance
By creating an account or using BillingDone (the "Service"), you agree to these Terms. If you don't agree, please don't use the Service.
2. Your account
You're responsible for keeping your login credentials secure and for all activity under your account. Notify us immediately at support@billingdone.com if you suspect unauthorized access.
3. The client records you store
BillingDone is built to hold your customers' details β names, companies, email addresses, phone numbers, billing addresses and notes. Those people are not BillingDone users and have no relationship with us. You confirm you are entitled to hold their information and to use it for invoicing, quoting and the follow-ups you choose to send.
4. Who is responsible for what
For your client records you are the controller and we are the processor: you decide what is collected, why, and how long it is kept, and we store and process it on your instruction. We do not sell your client data, we do not use it to train models, and we do not contact your customers ourselves β follow-up reminders and review requests open in your own email client and are sent by you, from your address.
5. Requests from your customers
If one of your customers asks to see, correct or delete the information you hold about them, that request goes to you, because you control the record. We will help you action it. If you need a data processing agreement for work in the EU or UK, email support@billingdone.com.
6. Acceptable use
You agree not to use BillingDone to send fraudulent invoices, harass third parties, transmit malware, attempt to breach our security, or violate any applicable law. We may suspend or terminate accounts that violate these rules.
7. Your content
You retain ownership of invoices, customer data, and other content you create in BillingDone. You grant us a limited license to store and process that content solely to operate the Service for you.
8. Payments and plans
Paid plans are billed in advance on a monthly or annual basis. Fees are non-refundable except where required by law or as stated in our Refund Policy. We may change pricing for future billing periods with reasonable notice.
9. Third-party services
BillingDone integrates with third-party payment processors and other services. Their terms apply to your use of those services. We're not responsible for third-party actions or outages.
10. Disclaimers
The Service is provided "as is" without warranties of any kind. We don't guarantee uninterrupted or error-free service. See our Disclaimer for details, including that we don't provide legal, tax, or accounting advice.
11. Limitation of liability
To the maximum extent permitted by law, BillingDone's total liability for any claim related to the Service is limited to the amount you paid us in the 12 months preceding the claim. We are not liable for indirect, incidental, or consequential damages.
12. Termination
You may cancel your account at any time from settings. We may suspend or terminate accounts for violations of these Terms. On termination, your right to use the Service ends, but accrued payment obligations survive.
13. Changes to these Terms
We may update these Terms from time to time. Material changes will be announced in-app or by email. Continued use of the Service after changes means you accept the updated Terms.
