What a good estimate does
An estimate is the document that decides whether a job is profitable, and it does that before any work happens. Most of the money lost on service jobs is lost here — not by pricing too low, but by leaving the boundary of the work undefined so that everything discovered later becomes an argument about whether it was included.
Three sentences do most of the protecting. What is included, itemised specifically enough that the customer can picture it. What is explicitly excluded — the closets, the ceilings, the disposal, the making good. And what would change the figure: the rotten sheathing under the old roof, the corroded shutoff behind the wall, the extra coat a dark-to-light colour change needs. Naming the unknowns is not hedging; it is the difference between a change order and a discount.
Then give it an expiry date and, where you will buy materials or hold a date, state the deposit and when it is due. An estimate with no expiry can be accepted months later at a price that no longer works, and a deposit requested after acceptance is a second conversation you did not need to have.

What is the difference between an estimate and a quote?
An estimate is a considered approximation for work whose scope may shift once you open things up. A quote is a firm price for a defined scope, and if the customer accepts it you have agreed to deliver at that price. Use an estimate where there are unknowns and a quote once the scope is locked.
Is an estimate legally binding?
Generally not, provided it is clearly labelled as an estimate and states what it is based on. What creates the risk is an estimate that reads like a fixed price. Say what is included, what is excluded, and what would change the figure — that sentence is worth more than any disclaimer.
How long should an estimate stay valid?
Put an expiry date on it. Material prices move and your schedule fills up, and an estimate with no expiry can be accepted months later at a price that no longer works. A stated validity period is normal and customers expect it.
Can the customer sign the estimate on their phone?
Yes. Send the public link and the customer can sign directly on their phone. The signature, the name and the timestamp are recorded against the estimate.
Can I turn an accepted estimate into an invoice?
