How photographer invoicing actually works
The shoot fee buys your time; the licence decides what the client may do with the results. Personal use, commercial use, print advertising, unlimited web, exclusivity and territory are separate commercial questions with separate prices, and an invoice that says only "photography" has quietly granted everything. Naming the licence is what makes a second sale possible when the client's usage grows.
Deliverables need numbers. How many edited images, at what resolution, delivered how, and what happens to the raw files. "A gallery" is not a specification, and the gap between what the client imagined and what you delivered is where the awkward conversation lives.
What belongs on a photographer invoice
Beyond the universals — your details, the customer's details, a unique invoice number, dates, totals and payment terms — these are the lines that matter in this trade.
- Shoot fee and duration
- Hours or day rate, with the coverage window and any overtime rate.
- Licence granted, explicitly
- Usage, media, territory, duration and exclusivity — or the absence of each.
- Deliverables, counted
- Number of edited images, resolution, format, delivery method and turnaround.
- Expenses and third-party costs
- Travel, assistants, equipment hire, permits, stylists — separately from the creative fee.

Getting paid as a photographer
- Retainer to book the date. The date is the product and you cannot resell a Saturday you held.
- Balance before delivery of final files. Delivering first removes the only leverage you have.
- Price licence extensions as their own invoice later rather than bundling everything up front — clients accept a targeted extension far more readily than an unlimited licence at the outset.
