Handyman invoice template
Handyman work is many small jobs in one visit, so the invoice has to make a punch list read as one clear total. Build one below — prefilled handyman services, payment terms, PDF download, and a public payment link.
How handyman invoicing actually works
A handyman invoice almost never covers one thing. A single visit might be a leaking trap, two loose cabinet doors, a dead outlet cover and a curtain rod. If you bill that as one line called "repairs" the customer has no way to check the work against the price, and that is where the "can you walk me through this?" conversation starts. Break the visit into the tasks the customer actually watched you do.
The second issue is the trip. Most handymen absorb travel into an hourly rate and then feel underpaid on a twenty-minute job across town. Putting a named service-call or minimum-visit line on the invoice — even at a modest amount — sets the expectation before the customer books the next small job, and it stops you discounting your own drive time by accident.
Materials are the third friction point. Hardware-store receipts stapled to an invoice invite line-by-line argument. Roll materials into named items ("P-trap and supply line, supplied and fitted") at your price, and keep the receipts for your own records rather than the customer's.
What belongs on a handyman invoice
Beyond the universals — your details, the customer's details, a unique invoice number, dates, totals and payment terms — these are the lines that matter in this trade.
- One line per task, not one line per visit
- "Replaced kitchen P-trap", "Rehung two cabinet doors", "Patched and painted drywall, hallway" — the customer can tick each one off against what they saw.
- Service call or minimum visit charge
- Named as its own line so it is understood as travel and setup, not padding on the labour rate.
- Labour shown as hours x rate, or flat per task
- Pick one and stay consistent across a customer's jobs. Mixing the two on one invoice is the fastest way to get questioned.
- Materials at your supplied price
- Described by what it is and where it went, not as a hardware receipt total.
- What you did NOT do
- If you found something out of scope — old wiring, a failing shutoff — note it. It protects you later and it is the single most reliable source of the next job.

Getting paid as a handyman
- Handyman jobs are small enough that the customer is usually still there when you finish. That is the moment with the least friction in the whole cycle — send the invoice before you leave the driveway, while they can still see the finished work.
- For repeat customers, keep the payment method the same every time. People pay faster on a rail they have already used once.
- For anything with a material spend you have fronted, take a deposit that covers the materials. You are not a lender.
Example invoice wording: Replaced kitchen faucet, repaired sink leak, and tested fixture for proper operation.
Handyman invoicing questions
What should a handyman invoice include?
A handyman invoice should include your business details, the customer's contact information, itemized services, materials or fees, taxes, payment terms, a due date, and a clear total due.
Can handymen send invoices from a phone?
Yes. BillingDone is designed for fast mobile invoice creation so you can create, send, and collect payment while you are still on site.
Can I save common services?
Yes. Start with the built-in Quick Add Invoice Library, then save custom services, prices, and descriptions for your own repeat work.
Should a handyman invoice list every small task separately?
Yes. Separate lines let the customer match the price to work they watched happen, which is what keeps small-job invoices from being questioned. Group only when tasks are genuinely one operation, such as patch, sand and paint one wall.
How do handymen charge for materials on an invoice?
Charge materials as named supplied items at your price, described by what they are and where they were installed. Keep supplier receipts for your own bookkeeping rather than attaching them to the invoice.
Do handymen need to charge sales tax on labour?
It depends entirely on your state and sometimes on whether the work counts as a repair or an improvement. Check with your state tax authority, then set the tax line in the template once so every invoice is consistent.
