How plumber invoicing actually works
The hardest thing to bill in plumbing is the twenty minutes it took to find the leak. The part might be a few dollars. Customers who only see the part on the invoice conclude they were overcharged. Name the diagnostic step as its own line — camera inspection, leak trace, pressure test — so what they are paying for is visible.
Emergency and after-hours work needs its own rate line, stated on the invoice as an emergency call-out rather than folded silently into the labour figure. A customer who called you at 11pm expects that to cost more; a customer who discovers it inside an unexplained total does not.
Where a repair is a stopgap — a clamped section, a temporary bypass — say so on the invoice. It is the difference between a callback you get paid for and a callback the customer thinks is warranty.
What belongs on a plumber invoice
Beyond the universals — your details, the customer's details, a unique invoice number, dates, totals and payment terms — these are the lines that matter in this trade.
- Diagnostic or leak-location line
- Billed separately from the repair. This is skilled work and it should be visible as such.
- Emergency / after-hours rate as a named line
- Never blended into standard labour. State the window it applied to.
- Parts with spec, not just name
- "3/4in brass ball valve" reads as a professional part. "Valve" reads as a markup.
- Access and reinstatement
- Cutting drywall to reach a pipe, and whether patching it is included or excluded, spelled out either way.
- Warranty terms on the repair
- State the period and what it covers. It closes the argument about whether a return visit is chargeable.

Getting paid as a plumber
- Emergency plumbing is the easiest work to get paid for on the spot and the hardest to chase later — the urgency evaporates the moment the water stops. Take payment at the job.
- For planned work with material lead times, take a deposit covering fixtures before you order them.
- For property managers and landlords, get the billing entity and any purchase-order reference before the visit, not after. An invoice to the wrong entity restarts the payment clock.
