How landscaping invoicing actually works

Maintenance and installation are different businesses on the same truck. Maintenance is a route: predictable, recurring, ideally billed monthly in advance against a seasonal agreement. Installation is a project: scoped, deposit-led, invoiced against milestones. Putting a patio install and three weeks of mowing on one invoice makes both harder to collect.

Plant material carries a warranty question customers will ask months later. State what is warranted, for how long, and what voids it — almost always the customer's watering. Without that line, every dead shrub is a callback.

Disposal is real cost. Green waste, spoil from excavation, old mulch and hardscape demolition all have tipping fees. Bill them as named lines rather than absorbing them into labour.

What belongs on a landscaping invoice

Beyond the universals — your details, the customer's details, a unique invoice number, dates, totals and payment terms — these are the lines that matter in this trade.

Maintenance and installation on separate invoices
Different billing cycles, different approval paths, different customer expectations.
Plant material by species, size and quantity
"3 x Skip Laurel, 5 gallon" — specific enough to warranty and to replace.
Materials by volume with delivery
Mulch, soil, stone and aggregate in cubic yards or tons, with the delivery charge shown.

Plant warranty terms and watering condition

Getting paid as a landscaping

  • Bill maintenance monthly in advance on a seasonal agreement rather than per visit. It removes the weekly collection problem and it survives the weeks weather cancels.
  • Installation work should carry a deposit covering plant material and hardscape supply — both are ordered against a specific job.
  • Set the seasonal agreement's start and end dates explicitly. Ambiguity about whether November is included is the most common landscaping billing dispute.

Example invoice wording: Completed lawn mowing, edging, hedge trimming, and yard cleanup.

Landscaping invoicing questions

What should a landscaping invoice include?

A landscaping invoice should include your business details, the customer's contact information, itemized services, materials or fees, taxes, payment terms, a due date, and a clear total due.

Can landscapers send invoices from a phone?

Yes. BillingDone is designed for fast mobile invoice creation so you can create, send, and collect payment while you are still on site.

Can I save common services?

Yes. Start with the built-in Quick Add Invoice Library, then save custom services, prices, and descriptions for your own repeat work.

Should landscaping maintenance and installation be on the same invoice?

No. Maintenance is recurring and best billed monthly in advance against an agreement; installation is a scoped project billed against milestones with a deposit. Combining them slows approval on both.

How should plants be listed on a landscaping invoice?

By species, container size and quantity — for example three five-gallon Skip Laurel. This makes the warranty enforceable and lets you or the customer replace like for like.

What warranty should a landscaping invoice give on plants?

State a duration, what it covers, and the customer's watering obligation. Plant warranties that do not name the watering condition end up covering neglect.
