Roofer invoice template
Roofing invoices frequently pass through an insurance adjuster, so they need scope language an adjuster will recognise. Build one below — prefilled roofer services, payment terms, PDF download, and a public payment link.
How roofer invoicing actually works
A large share of residential roofing is paid by an insurer rather than by the homeowner. That changes what the invoice has to do: it needs to map onto the adjuster's scope, use squares rather than vague area descriptions, and separate the parts of the job the policy covers from upgrades the homeowner chose. An invoice the adjuster cannot reconcile is an invoice that sits.
Tear-off, disposal and deck repair are the three lines most often underbilled. Deck repair especially — you cannot know how much rotten sheathing is under there until the old roof is off, so price it per sheet on the contract and invoice the actual count.
Underlayment, ice-and-water barrier, drip edge and ventilation are what separate a roof that lasts from a roof that leaks in four years. They are also what a low competitor quote quietly omits. Naming them on the invoice is both accurate and a sales document for the next customer who compares.
What belongs on a roofer invoice
Beyond the universals — your details, the customer's details, a unique invoice number, dates, totals and payment terms — these are the lines that matter in this trade.
- Area in squares, with pitch and layers
- The units an adjuster and a supplier both work in.
- Tear-off and disposal as separate lines
- Including number of existing layers removed and dumpster or haul-away cost.
- Decking repair at unit rate x actual count
- Priced per sheet on the contract, invoiced at what was actually replaced.
- Underlayment, ice-and-water, drip edge, ventilation
- Named individually. These are the components that get omitted from cheap quotes.
- Insurance claim and adjuster reference
- Claim number and any supplement reference, where the work is insurance-funded.

Getting paid as a roofer
- On insurance work, understand who holds the mortgage company endorsement before you start. A cheque made out to the homeowner and their lender needs the lender's signature, and that can take weeks nobody planned for.
- Take a deposit that covers material delivery. Roofing materials arrive on a truck and get paid for on delivery.
- Invoice supplements as they are approved, not at the end. Adjusters approve incrementally and so should you.
Example invoice wording: Repaired damaged shingles, sealed exposed flashing, and cleared work area.
Roofer invoicing questions
What should a roofer invoice include?
A roofer invoice should include your business details, the customer's contact information, itemized services, materials or fees, taxes, payment terms, a due date, and a clear total due.
Can roofers send invoices from a phone?
Yes. BillingDone is designed for fast mobile invoice creation so you can create, send, and collect payment while you are still on site.
Can I save common services?
Yes. Start with the built-in Quick Add Invoice Library, then save custom services, prices, and descriptions for your own repeat work.
How should roofing be measured on an invoice?
In squares (100 square feet), with the roof pitch and the number of existing layers stated. This is the unit adjusters, suppliers and other roofers all work in, so it makes the invoice verifiable.
How do you invoice a roof paid by insurance?
Mirror the adjuster's scope line for line, cite the claim number, and keep homeowner-chosen upgrades on separate lines from covered scope. Anything the adjuster cannot reconcile against their own estimate delays payment.
Should decking repair be a fixed price on a roofing invoice?
Price it as a unit rate per sheet in the contract and invoice the actual quantity replaced, with the count shown. Nobody can see the deck condition until tear-off, and a fixed allowance either overcharges the customer or eats your margin.
