Lawn Care invoice template
Lawn care is route work — the invoice's job is to make a recurring schedule collect itself. Build one below — prefilled lawn care services, payment terms, PDF download, and a public payment link.
How lawn care invoicing actually works
Lawn care fails financially on collection friction, not on pricing. Chasing a modest amount from thirty customers every week costs more time than the mowing. The fix is structural: a seasonal agreement, a fixed monthly amount that spreads the season evenly, and a card or bank mandate on file. The invoice then becomes a statement of what happened, not a request.
Weather is the recurring dispute. If a week is skipped for rain or drought dormancy, the customer expects a credit unless the agreement says the monthly amount covers a season, not a visit count. Say that on the agreement and repeat it on the invoice.
Treatments — fertiliser, pre-emergent, grub control, aeration, overseeding — are the margin, and they are separate from mowing. List them individually with the application date, both because customers want to know what was put on their lawn and because some states require the record.
What belongs on a lawn care invoice
Beyond the universals — your details, the customer's details, a unique invoice number, dates, totals and payment terms — these are the lines that matter in this trade.
- Service period, not just service date
- "April 1 to April 30, four scheduled visits" reads as an agreement being fulfilled.
- Visits completed, with dates
- Including any skipped for weather and why.
- Treatments listed individually
- Product applied, date, and area. Several states require applicators to leave a record anyway.
- Property address, separate from billing address
- Essential for landlords, property managers and anyone billing for more than one address.
- Seasonal agreement reference and term dates
- Start and end of the covered season, stated on every invoice.

Getting paid as a lawn care
- Automate it. A card or ACH mandate on a fixed monthly amount is the single highest-impact change available to a route business.
- Bill monthly, not per visit. Per-visit invoicing multiplies your admin by the number of cuts.
- Handle the winter conversation in autumn. Customers who are asked in November whether to continue are far easier to re-sign than customers contacted in March.
Example invoice wording: Mowed, edged, trimmed, and blew off walkways after service.
Lawn Care invoicing questions
What should a lawn care invoice include?
A lawn care invoice should include your business details, the customer's contact information, itemized services, materials or fees, taxes, payment terms, a due date, and a clear total due.
Can lawn care providers send invoices from a phone?
Yes. BillingDone is designed for fast mobile invoice creation so you can create, send, and collect payment while you are still on site.
Can I save common services?
Yes. Start with the built-in Quick Add Invoice Library, then save custom services, prices, and descriptions for your own repeat work.
Should lawn care be invoiced per visit or monthly?
Monthly, against a seasonal agreement. Per-visit invoicing multiplies admin and collection friction by the number of cuts, and a fixed monthly amount smooths both your cashflow and the customer's.
What happens on the invoice when weather cancels a visit?
Note the skipped date and the reason, and state that the monthly amount covers the season rather than a fixed visit count — provided the agreement says so. Silence here is where the credit argument starts.
Do lawn treatments need to be itemised?
Yes. List each product, the date applied, and the area treated. Customers want to know what was put on their lawn, and several states require licensed applicators to leave a written record.
