What to put on an invoice
An invoice does two jobs: it tells the customer exactly what they are paying for, and it gives you a record you can defend at tax time or in a dispute. Every invoice needs your business name and contact details, the customer's details, a unique invoice number, the date issued, a plain description of the work, the amounts, any tax, the total due, the payment methods you accept, and a due date written in a way a human reads without effort — "Due Friday 5 September" beats "Net 15".
Beyond that, what belongs on the document depends on the trade. An electrician's invoice carries permit and inspection lines and a licence number. A plumber's should show diagnosis separately from the repair. A contractor invoices against a schedule of values with retainage shown. A photographer grants a licence and needs to say what it covers. That is why each trade template below has its own guidance rather than one generic checklist repeated 65 times.
The single highest-leverage habit is timing. The easiest moment to be paid is while the customer can still see the finished work and remembers agreeing the price. An invoice created on a phone at the kerb competes with nothing; one sent the next morning competes with an inbox.
Free invoice generator FAQ
Is this invoice generator really free?
Yes. You can create an invoice, download it as a PDF, and share a public payment link without creating an account or entering a card. A free account raises the limit to three saved invoices a month; paid plans remove the limit and the BillingDone footer on your PDFs.
Do I need to sign up to download the PDF?
No. The generator runs in your browser and the draft saves to your own device, so you can fill it in and download without an account. If you sign up later, any drafts on that device sync to your account.
How do I get paid from the invoice?
You connect your own payment method — Stripe, PayPal, Square, Venmo, Cash App, Zelle or bank transfer — and the customer pays you directly. BillingDone never handles your money and takes no percentage of the payment. You remain the merchant of record.
Can I add my own logo and remove the BillingDone branding?
Logo upload and branding removal are on the paid plans. The free generator produces a clean professional PDF with a small BillingDone line in the footer.
Does it work on a phone?
It is built phone-first. The intended use is creating and sending the invoice at the job site before you drive away, which is when a customer is most likely to pay immediately. You can also install it to your home screen from Safari or Chrome.
Can I use it to make a receipt instead?
Yes. Change the document title to Receipt, mark it paid, and record the payment method and date received. There is also a dedicated receipt template page if you want to start from there.
What should an invoice include to be valid?
At minimum: your business name and contact details, the customer's details, a unique invoice number, the issue date, a clear description of the work, the amounts, any tax, the total due, the payment terms and a due date. Some trades and jurisdictions require more — a licence number, for example. The per-trade template pages cover what your trade specifically needs.
